1. Who we are
CQCflow is operated by Patientflow Systems Limited (company number 16565156). These terms govern your use of CQCflow. By creating an account or using the service, you agree to them.
2. The service
CQCflow helps care providers manage CQC compliance — building audit forms, completing audits, and organising evidence. You're responsible for the accuracy of the information and evidence you add, and for making your own judgement about your organisation's compliance with CQC requirements. CQCflow is a tool to help you organise that work; it does not constitute regulatory or legal advice.
3. Accounts and organisations
You're responsible for keeping your account credentials secure and for activity that happens under your account. Each organisation is managed by its admin users, who control who is invited, their role, and what happens to their access when removed. You must have the authority to act on behalf of your organisation when you create or manage it on CQCflow.
4. Subscriptions and billing
Paid tiers are billed in advance on a recurring basis through our payment provider, Stripe. You can upgrade, downgrade, or cancel your subscription at any time from the billing page; changes take effect as described at the point of change. If a subscription lapses or payment fails, your organisation may be moved to a lower tier and become subject to that tier's limits. Fees are not refundable except where required by law.
5. Your content
You retain ownership of the forms, audits, and evidence you upload to CQCflow ("your content"). You grant us a licence to host, store, and process your content solely to provide the service to you. You're responsible for having the right to upload any content you add, and for not uploading anything unlawful.
6. Acceptable use
You agree not to misuse the service — including attempting to access another organisation's data, disrupting the service, or using it for any unlawful purpose. We may suspend or terminate access for accounts that breach these terms.
7. Availability and changes
We aim to keep CQCflow available and reliable but don't guarantee uninterrupted access. We may update or change features of the service from time to time, and may update these terms — we'll take reasonable steps to let you know of material changes.
8. Liability
Nothing in these terms limits liability that cannot be limited under UK law, including for death or personal injury caused by negligence, or fraud. Subject to that, Patientflow Systems Limited is not liable for indirect or consequential losses, and our total liability arising from your use of the service is limited to the fees you paid us in the 12 months before the claim arose.
9. Ending your account
You can stop using CQCflow and cancel your subscription at any time. We may suspend or close an account that breaches these terms or where required by law. On closure, your data is handled as described in our Privacy Policy.
10. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
